Through your LISA admin, you can set individual rules for lead notifications, allowing you to direct specific types of leads to specific team members via email and/or SMS. To add a new notification rule, follow the instructions below.
1. Go to Notifications > Routing
After logging into your LISA admin, click "Notifications" from the left-hand toolbar and then click "Routing." (You must be an Administrator to access this section.)
This will bring you to the Notification Routing page, shown below.
By the way, the entry shown above, called "Default Form Fills," serves as the back-up routing. If leads flow into your LISA admin without a specifically dedicated rule for that type of lead, then the default email addresses and SMS numbers will be notified. This ensures that no lead is missed by your team.
2. Check for Existing Notification Routing
Before your website launched, your Client Manager likely worked with you to set up your custom notification rules. Because you can only have one notification rule per type of lead (e.g., one routing rule for Quotes, one for Past Projects, etc.), it's a good idea to check whether the rule already exists before creating a new one.
To check, you can either scroll down and manually read the labels or you can use Ctrl+F to search the page via your browser's search function. Search for whichever type of notification rule you want to set, such as Quote, Career, Survey, Past Project, etc.
If your desired notification type does not already exist, then continue with the steps below. If it does exist, then you can directly edit the notification routing by typing into the CC, BCC, or SMS/Texting fields.
3. Click "Add Custom Type"
To create a new routing rule, scroll all the way to the bottom of the Notification Routing page. Then click the button for "Add Custom Type."
Clicking this button will add a new row to your page, as shown below.
4. Choose Your Notification Type
The first setting will be to choose the type of notification routing. In other words, which type of lead will this email or SMS notification pertain to?
Click the drop-down menu to show all of the options available.
5. Add Email Addresses and/or SMS Numbers
Once you've chosen the type of notification, enter your preferred email addresses and phone numbers into the appropriate fields.
You can enter as many email addresses as you want (separated by commas) along with 3 phone numbers for SMS texting. At least one email address or SMS number is required in order to create the rule.
Whichever email addresses are entered into the "To" field cannot be directly edited in the future. You will have to reach out to your Spectrum Client Manager for support.
6. Save Your Changes
Once you've added your email addresses and/or SMS numbers, click the green "Save" button to save your changes.
That's it! Whenever leads of this specific type flow into your LISA admin, the provided email addresses and phone numbers will be automatically notified.
